The smart quote, for building a bespoke trip

A smart quote starts from the client enquiry and suggests what you already have: the properties free on the right dates, their photos, their negotiated prices, the activities that go with them, and the itinerary already written. You arbitrate, you send.

Today that same quote is an investigation: find the properties, the photos, the prices, then assemble. This page breaks the real chain down step by step, and says what the tool absorbs and what has to stay human. Initial audit free of charge, in Marrakech or remotely.

Why a bespoke quote is so expensive to produce

An enquiry arrives with three pieces of information: dates, a type of property, two or three wishes. Everything else has to be built. And unlike a catalogue product, nothing from the previous quote helps with the next one, because the information was never filed anywhere.

The time always splits roughly the same way. Searching for the available property weighs the most. Then comes retrieving the photos, then writing the trip description, then calling vendors for the activities. Formatting the document finishes the job.

That breakdown has an important practical consequence: working on the writing of the quote, the visible part, gains you almost nothing. It is the search and the media retrieval that have to be dealt with first. So we start with the catalogue and the library, even if it is less spectacular.

The five points where the chain jams

Finding which property is free, and at what price

The information is spread between owners, platforms and the owner's memory. It is the longest and most frustrating step, because it repeats identically for every enquiry.

Retrieving the property photos

They exist, they have already been used, but they are in a messy cloud or inside a conversation. Re-downloading them from a listing has become a reflex, and it is pure lost time.

Rewriting a description you have already written

Every villa, every riad, every excursion is described all over again, often with the help of an assistant, then edited by hand. That text is never kept for next time.

Calling each vendor, one by one

A trip itinerary easily involves five suppliers. Each one means a call, a wait, a follow up. For a single quote that may not even be won yet.

Assembling a presentable document

Layout, photos, itinerary, prices. In a premium market a sloppy document costs you the sale. A polished one costs two more hours.

How the quote becomes smart, step by step

We handle the steps in order of their real weight in time, not in the order they appear.

Step 1, the catalogue: searching becomes filtering

Your properties with capacity, neighbourhood, bedrooms, negotiated price, conditions and owner. A search by dates and type replaces the investigation. Availability is handled according to how your owners communicate it, and that point is cadred honestly with you.

Step 2, the media library: photos attached to the property

Each property carries its photos. Putting them in a quote becomes a selection, not a hunt. It is the block that saves the most time and the one nobody wants to do: we do it.

Step 3, descriptions: written once, reused afterwards

The description of a property or an excursion is kept and reused. For a trip, the itinerary is assembled from those pieces, in your tone, then reviewed by you before sending.

Step 4, vendors: one grouped request instead of ten calls

The suppliers involved receive a clear request, with dates and numbers, and their answers gather in one place. The phone stays for what deserves a call.

Step 5, the proposal: the document builds itself

Priced quote on one side, illustrated proposal in your brand on the other, built from the photos and the itinerary you kept. The quote says how much, the proposal makes them want it.

And after sending: the follow up

A quote sent then forgotten is a quote lost. Follow ups are prepared and triggered on your approval, in a tone that stays yours.

What it changes depending on the trip

Simple stay in a villa or riad

One property, two or three activities. This is where the gain is most immediate: most of the work is searching, and searching is what disappears.

Multi city circuit

Several properties, transfers, a sequence to verify. The catalogue becomes essential, and the day by day description earns its keep.

Event with a trip around it

Wedding, corporate retreat, milestone birthday. Coordination weighs more than searching, and our events page covers that case.

Groups and reselling agencies

Pro formas, itineraries to be approved, several contacts. See our tour operator and DMC page.

What we do not promise

We do not promise a quote built without you. Selecting the properties and choosing the vendors stays your craft, and that is what the client pays for. The tool cuts the production time, it does not take the commercial decision.

We do not retrieve availability from a rental platform by any means contrary to its terms of use. When the only clean route is manual entry or a calendar shared by the owner, we say so, and we build it into the project rather than hiding it.

We do not give a target duration before watching you work. We aim at a quote in under an hour against several days today. That is a project objective. The measurement happens at your agency, before and after, and that is the figure that counts.

Frequently asked questions

Which step actually saves time?

Finding the property and retrieving the photos, far ahead of the writing. It is counter intuitive, because writing is the visible part of the work. A project starting with the formatting of the quote would make a pretty demonstration and change nothing about your week.

Will the generated texts all look alike?

That is the main risk, which is why descriptions are kept per property rather than reinvented each time, and why they go through your review. A text that smells of a template, on a premium offer, does more harm than good.

Where does availability actually come from?

It depends on how your owners communicate it: a shared calendar, a message, a platform. We review the possible routes with you, including the ones we refuse, and keep the one that does not expose you.

I go through listing sites even though I know the owner. Why?

Because the listing is the only place where everything is gathered: photos, description, calendar. That is the sign a catalogue of your own is missing. Once it exists, the reflex disappears by itself.

How many properties make this worthwhile?

There is no magic threshold, but the calculation is simple: count the quotes you build per month and the time each one takes. If you spend more than a day a week looking for information you already own, the project pays for itself.

Let us time your next quote

30 to 60 minutes. You build a quote in front of us, as usual. We note every step and how long it takes, then tell you what can be absorbed and what cannot.
