Tour operators and DMCs: costings that prepare themselves

A DMC does not sell to a traveller, it sells to an agency that sells to a traveller. That changes everything: the itinerary has to be flawless on paper, the pro forma has to arrive fast, and the smallest wobble is paid for in lost confidence with the reseller.

We build the smart costing: your itineraries and your purchase rates kept and recomposed according to the enquiry received, so a pro forma goes out without rebuilding everything. We are based in Marrakech, meetings in person. Initial audit free of charge.

What sets a DMC apart from a bespoke agency

The client is a professional. They compare costings, they expect a constant format, they come back several times on the same itinerary before confirming. A costing sent late or presented differently from one time to the next costs files, even when the price is right.

Volume also changes the nature of the problem. A group involves several properties, transfers, guides, meals, sometimes across several cities. Coordination becomes the job, and it almost always lives in separate conversations nobody else can pick up.

Finally, money moves differently: deposits from the reselling agency, payments to local vendors often made on site, balances on agreed dates. Tracking that in a spreadsheet works until two groups overlap.

What we see in Moroccan DMCs

Every costing starts from zero

Itineraries look alike from one enquiry to the next, but nothing is capitalised: the texts, the purchase rates and the sequences are rebuilt by hand every time.

Purchase rates live in email attachments

Season grids sent by hotels, prices negotiated by phone, special conditions. At costing time you have to find the right document, in the right version.

Coordination gets lost in conversations

Guides, drivers, properties, restaurants. For one group the information is split across ten threads, and nobody but you can pick the file up.

Financial tracking of groups is fragile

Deposits received, payments to vendors, balances due. Between two departures close together, the spreadsheet becomes the weak point.

Reseller enquiries wait

A partner agency waiting three days for a costing is asking another DMC in parallel. Speed of reply is a commercial argument in its own right.

What we build to cost faster

Same logic as for bespoke travel, with two differences: the costing has to be reproducible, and group tracking has to hold when several files overlap.

A base of reusable itineraries

Your circuits and trip modules kept and recomposable, with their texts and sequences. An enquiry close to an existing itinerary is handled by adjusting, not rewriting.

Purchase rates in the right place

Season grids, negotiated prices, conditions, by property and by vendor. Costing no longer means digging out a document received six months ago.

Pro formas and costings in a constant format

A document identical from one time to the next, in your brand, with your terms. For a reseller, consistency of format is part of perceived professionalism.

The group file as a single point

Properties, transfers, guides, meals, timings. One readable file replacing ten conversations, and one that lets someone other than you answer.

Deposits, balances and payments tracked

What has been collected, what is still owed, what has been paid to vendors. Visible per file, and consolidated for you alone.

Margin per group, before departure

Purchase price and selling price compared while the costing is built, not after the group goes home.

The structures we work with

DMC working for foreign agencies

Enquiries arriving in waves, an expected format, professional contacts. The stake is consistency and speed.

Tour operator with its own circuits

A catalogue of itineraries to maintain and adapt. The base of reusable itineraries is the heart of it.

Niche specialist

Desert, trekking, golf, corporate travel. Few itineraries, but very detailed ones, and documentation that weighs on the decision.

Mixed agency, bespoke and groups

The frequent case. Both logics coexist, and our smart quotes page covers the bespoke side.

What we do not do

We do not connect to a booking system or a distribution channel without proper authorisation. When a connection requires a contractual agreement with a partner, that is a prerequisite of the project, announced before we start rather than discovered along the way.

We do not do your costing for you. Negotiating with vendors and deciding prices is your craft, and it rests on relationships we do not have. The tool prepares the costing, you arbitrate it.

We do not handle acquisition of new resellers in this engagement. That is separate commercial work, priced separately, and it makes little sense before the back office holds.

Frequently asked questions

We work with several reselling agencies. Can files be partitioned?

Yes, and it is a prerequisite: each reseller only sees what concerns them, and your purchase conditions never leave the building. The consolidated financial view stays accessible to you alone.

Can we keep our existing itinerary and pro forma templates?

Yes. We start from your current documents, with your mentions and your presentation, rather than imposing a format. Your resellers should not notice a change of tool, except in speed.

What about deposits from abroad?

Depending on your bank and the payment solution chosen, a payment link and scheduled instalments are possible. It is the point to settle earliest, because it sets the timeline of the last stage.

There are three of us, will each have their own access?

Yes, with different rights. That is precisely one of the points of the project: that a group file can be picked up by someone else without a briefing meeting.

How long before a first usable block?

We work in stages of a few weeks, each usable before moving to the next. The first stage aims at a complete file handled in the tool. The time saving on costings arrives with the itinerary base and the purchase rates.

Let us look at what can be automated

30 to 60 minutes, in Marrakech or remotely. We look at how a costing is built today and how a group file is tracked, then tell you what a tool can take over.
