A bespoke quote eats whole days
Finding which properties are available often takes longer than writing the quote itself. And since everything has to be redone for the next quote, that time never compounds.
A client sends you dates, a type of property and two or three wishes. The tool immediately suggests the properties that match, pulls up their photos, assembles the itinerary and prepares the proposal. You choose, you adjust, you send.
That is what we call a smart quote: putting a bespoke trip together while the request is still warm, instead of spending two days on it. We are based in Marrakech, meetings in person, invoicing in dirhams. Initial audit free of charge.
Most bespoke travel agencies we meet in Morocco are not short of enquiries. They live on word of mouth, often for almost all of their business, and that channel works because the work is good. What is missing is the time to handle the requests properly.
The bottleneck is always in the same place: building the quote. A client gives dates, a type of property, two or three activity ideas. You then have to work out which properties are free, dig out the photos, rewrite a description of the trip, call each vendor for a price and availability, and assemble all of it into something presentable.
None of that is the actual craft. The craft is knowing the places, choosing well, meeting the client. The rest is information handling, and that is exactly what a well-built tool absorbs.
Finding which properties are available often takes longer than writing the quote itself. And since everything has to be redone for the next quote, that time never compounds.
Media ends up scattered between a personal cloud, message threads and listing sites. Many agencies re-download photos they already own, and rewrite by hand a description they have already written ten times.
Villa and riad owners, quad biking, hot air balloons, transfers, cooks, spas. Prices and availability live in the owner's head and in their call history. The day someone else has to pick up a file, nothing can be handed over.
When purchases go through vendors paid in cash on site and tracking lives in a spreadsheet with one tab per booking, the real margin on a trip only appears once the trip is over. Too late to correct a price.
A European clientele paying in euros, no payment link to send, deposits to spread across a wedding or a corporate retreat. That is a commercial friction, not just an accounting problem.
Many agencies already pay for a complete management system, then use a third of it because it is too heavy for a one or two person business. The problem is not a missing tool, it is the gap between the tool and the actual work.
A quote only becomes smart if it draws on material that is in order: your properties, your photos, your vendors, your prices. So we deliver one block at a time, each usable before the next, in the order that frees up your time fastest.
Villas, riads, apartments, guest houses, activities and transfers. Type, capacity, neighbourhood, negotiated price, owner, conditions. Your knowledge of the ground becomes a searchable base instead of staying in your memory.
Photos filed by property, reusable from one quote to the next, in a space dedicated to the agency without touching your personal cloud. It is the least glamorous block and the one that saves the most time.
You enter the dates, the type of property and the wishes. The tool brings up the available properties that match, with their photos, their negotiated prices and the activities that go with them. You discard, you swap, you approve. The decision stays yours, always.
The itinerary text is assembled from the properties and activities you kept, in your tone, then submitted for your review before it goes out. It is writing assistance, not automatic publishing.
A document for the end client, separate from the priced quote: photos, itinerary, day by day plan. The quote says how much, the proposal makes them want it. In a premium market, that document is part of the offer.
The quote becomes an invoice with your numbering and your legal mentions. Payment link, deposit on booking, balance before arrival, Moroccan and foreign cards depending on the solution agreed with your bank.
Purchase price from the vendor, selling price to the client, margin on the trip, visible while you build the quote and not three months later.
Access rights are separated from the start: you administer, a future colleague only sees what concerns them, and the financial side stays private. Hiring should not mean explaining everything again.
One or two people, trips built on request, vendors dealt with directly. The question is always the same: build the quote fast without losing any of the personalisation.
Circuits, groups, reselling agencies abroad. The question becomes consistency of itineraries, pro forma invoices and coordinating a chain of vendors.
Desert, trekking, golf, yoga, corporate travel. A narrow catalogue but very detailed itineraries, where the documentation sent to the client weighs heavily on the decision.
A portfolio of properties entrusted by owners, with trips to organise around them. The line with accommodation is thin, and our hospitality work covers that part.
We do not put your client relationship on autopilot. In this trade, what the client buys is your knowledge of the places and your presence. A tool answering in your name would damage exactly what gets you recommended. The tool suggests, prepares and formats. You approve and you sign.
We do not plug your availability into a rental platform without the right to do so. Automatically pulling calendars from a listing site runs into its terms of use, and we will not expose you by doing it. The possible routes are reviewed with you, and when manual entry is the honest answer, we say so.
We do not promise new clients with this engagement. This work deals with structure, not acquisition. If visibility is your issue, that is separate work and we price it separately, after this one.
We do not give you a time saving before seeing how you work. On this kind of project we aim to bring a quote that takes several days down to under an hour, but that is a project objective, not a performance already observed at your agency. We measure it with you, before and after.
Not overnight, and not without checking. We start by looking at what you actually use. If it serves you on one specific point, we keep it. If you use a third of it because it is too heavy, we take over your data and you migrate one block at a time, keeping the old tool running until the new one has proven itself.
No, unless you explicitly ask for it on a specific message. By default everything written is submitted to you before it goes out. In bespoke travel, a message that rings false costs more than the time it saves.
That is one of the aims of the project, and it depends on your bank and the payment solution chosen. The bank appointment should be booked early, because it sets the timeline. We compare the available solutions with you on fees, settlement times and instalments.
We deliver in stages of a few weeks, not in one go. The first stage aims at handling a booking end to end: client record, quote, invoice. The serious time saving arrives with the catalogue and the media library, in the following stage. We say so from the start to avoid disappointment.
That is the most common case in this trade, and the one where the gain is clearest, because everything rests on one person. The tool is designed for a single owner, with the option of opening access to a colleague later without rebuilding anything.
Yes, and it is written into the contract. You remain the owner of your data, we access it to build the tool, and you can take it back. Your book of owners and vendors is your main asset, it has no business becoming ours.
Three entry points, depending on what takes up most of your time. Each page goes into detail on its subject.
The tool brings up available properties, their photos and the itinerary. You arbitrate and send.
